Today we are introducing a new feature inside the Charity Automator Data Warehouse that brings full clarity into the Prospect Status lifecycle.

It is called Prospect Status History Table and it provides an accurate, automated record of every status change from the moment the feature is switched on. This makes it possible for your team to evaluate progress, understand delays, and measure the effectiveness of your moves-management efforts with confidence.
When nonprofits work with major giving they rely on a structured moves-management process to guide prospects from the moment they are identified to the moment the relationship turns into a meaningful gift. Yet even organisations with strong discipline around moves management often face the same challenge: they can see a prospect’s current status but they cannot easily see how long that constituent has been in each stage or how their status has changed over time.
This feature is available to any organisation using the Charity Automator Data Warehouse. If you would like it enabled simply contact our support team.
Blackbaud’s best practice for prospect management is built around clear stages that reflect the evolution of a fundraising relationship. These include Identification, Qualification or Disqualification, Cultivation, Solicitation and Stewardship. Each stage indicates where the prospect is in your organisation’s moves-management cycle and how much progress the fundraiser has made in developing the relationship.
Raiser’s Edge NXT already gives you the prospect’s current status. What it usually cannot provide without complex manual work is a reliable history of how long the constituent spent in each stage. That history is critical because it reveals how your process is performing. For example, if constituents remain in Qualification for too long it can indicate challenges in outreach or prospect prioritisation. If they stay in Solicitation for extended periods it can signal delays in preparing materials or coordinating the ask.
Prospect Status History Table in Charity Automator Data Warehouse fills this gap.

William da Silva, Founder and CEO at SimpliPhi, explains it clearly:
“For the Prospect Status feature, our Data Warehouse already had the CURRENT prospect status. What the new feature does is provide a history log of prospect status so that teams can not only know when a status changed but how long it was in that status. This helps measure and evaluate performance and prospecting velocity.”
The Data Warehouse now includes a prepared table that automatically logs each time a prospect’s status changes. It records:
• The constituent ID
• The previous and new status
• The date when the status changed
• The number of days the constituent remained in the previous status
From the moment the feature is activated your organisation begins accumulating accurate history that you can analyse in any BI environment such as Power BI or Tableau.
The feature was built to solve a long-standing need. As Tim Roy, Data Analyst at SimpliPhi, put it:
“We do not receive this data point from the API. So we built a method to track when the status changes, record the date and calculate how many days the status persisted. This lets organisations filter, analyse and act instead of guessing.”
This approach avoids the limitations of single-record API calls and ensures the history is complete and accurate from the moment of activation.
1. Visibility into your moves-management process
You gain a clear timeline for how prospects move through statuses.
2. The ability to measure progress and detect delays
If a prospect stays in Identification for weeks it becomes visible. If many prospects remain in Qualification for too long you know where to intervene.
3. Consistent reporting across teams
Everyone works from the same source of truth. Your development operations team, analytics team and advancement leadership can all use the same dataset without manual work.
4. Reliable forecasting
Knowing how long prospects typically spend in each status helps you predict when solicitations are likely to occur and how soon revenue may materialise.
5. Better strategic decisions
Because the Prospect Status History Table lives inside the Data Warehouse you can join it with giving history, opportunity records and engagement data. This allows you to understand how prospect movement and gift outcomes relate to one another.
This feature is especially valuable for organisations that:
• Manage mid-level or major gifts
• Use a structured moves-management process
• Need visibility into fundraising performance
• Want to understand the timing of Identification, Qualification, Cultivation and Solicitation
• Present fundraising metrics to leadership or boards
• Use BI tools such as Power BI or Tableau to build dashboards
Nonprofits with RE NXT who follow Blackbaud’s recommended Prospect Status stages will find this feature particularly natural because it mirrors the structure already in place inside the CRM.
If your organisation uses the Charity Automator Data Warehouse simply reach out to [email protected] and ask to enable Prospect Status History. Once enabled the Data Warehouse begins tracking status changes immediately.

Prospect management works best when fundraisers and leaders understand not only where a constituent is in the moves-management process but how long they stayed there and how their journey evolved. Prospect Status History Table brings this depth of insight into the Charity Automator Data Warehouse and gives nonprofits a reliable way to measure progress, identify issues and strengthen major-gift strategy.
